A vendor contract can become expensive before its renewal date. The decisive date is often the notice deadline—the point after which the agreement renews automatically or cancellation becomes difficult. If leadership begins reviewing the contract after that date, much of its leverage may already be gone.
Build the minimum contract record
For every material agreement, record supplier, service, business owner, annual value, start date, end date, auto-renewal language, notice period, notice method, price-escalation clause and termination rights. Store the executed contract and amendments with the record.
Create alerts at 180, 120, 90 and 60 days before the notice deadline. The longest lead time belongs to complex services that require benchmarking, stakeholder input or an alternative implementation plan.
Review value before price
Confirm utilization, service quality, overlapping vendors, unresolved issues and future requirements. Negotiating a lower rate for an unnecessary service still preserves waste. Blackspire's Vendor Spend Review connects contract terms with invoices and actual operating need.
Assign a decision owner
Every renewal needs one accountable business owner and one commercial owner. Require an explicit renew, renegotiate, consolidate or exit decision. Silence should never function as approval.
